Common Issues & Fixes
Field employee tracking is a feature that uses GPS technology to show the real-time location of employees working outside the office. It helps businesses monitor staff movements, routes, and job visits during the day, making it easier to manage field operations and improve team coordination.
Field employee tracking helps businesses know where their field workers are at any time during the workday. It uses GPS to show where employees are while they are outside the office, like sales staff, delivery drivers, or service technicians. This helps managers check that employees go to the right places and stay on track with their tasks. It creates trust, since there is a clear record of the employee’s movements during work time.
It also makes planning and managing daily work much easier. When managers know where each employee is, they can assign jobs based on location. This saves time and fuel. For example, if a new job comes in, they can send the nearest available employee instead of someone far away. This helps stop delays, gives better service to customers, and lets the team finish more work faster. It also prevents confusion about who should go where.
Employee gps tracking improves safety and keeps the whole team better connected. When someone is stuck or running late, the manager can find them quickly and take action. This is especially helpful in case of emergencies or unexpected problems. It also helps teams stay better organized and work together more smoothly, since everyone knows what’s going on and where each person is during the day.
To use field staff tracking with the Time Champ mobile app, some settings need to be turned on in both the web system and the app. This helps know where employees are and when they begin work. Let’s understand!
Depending on how the job site is configured, the timer may behave in one of these three ways:
If Auto Start is turned on for a job site, the timer will start on its own as soon as the employee enters the job site area.
If Send Reminder is set, the employee will get a message or alert when they reach the job site, reminding them to start the timer.
If Manual Start is chosen, employees have to start the timer themselves after they arrive at the job site.
This feature shows the live location of employees on a map view using GPS. It helps managers see where their field staff are at any moment, making it easier to assign tasks, monitor activity, and respond quickly if needed.
Managers can view a history of where employees have been throughout the day, week, or month. This includes locations visited, time spent at each place, the customer visited, the type of visit, and the purpose of the visit. This helps with performance reviews, better planning, and understanding how time is spent in the field.
You can track the exact routes employees take during the day. This helps in checking travel efficiency, reducing unnecessary trips, and improving route planning for faster and more cost-effective operations.
Set up virtual boundaries (called geo-fences) around specific locations like job sites, customer locations, or offices. This helps track when employees reach or leave a location and ensures they are working in the right areas at the right times.
Employees can easily mark their attendance when they arrive at or leave a job location. Geo-fencing makes sure they can only check in or out when they are inside the set area, which helps avoid fake entries and keeps the attendance records correct.
With field staff tracking, managers can see where every field employee is during work hours without needing to call or message them. This gives managers better control of their teams, helps them understand how the day is going, and makes it easier to manage people at once. It reduces confusion, avoids miscommunication, and helps ensure all tasks are being done as expected.
By monitoring routes and job visits, managers can figure out the best ways for employees to get from one job to another. This eventually leads to spending less time on the road and more time spent doing the work. When time is managed better, employees can finish more tasks a day, which improves productivity and helps the company serve customers more within a short period of time.
When employees know their location and work can be seen, they are more likely to stay focused and do their tasks properly. This prevents time-wasting, fake check-ins, or skipping work. It builds a workplace where employees take their jobs seriously and try to do their best. Managers can also use the location history to fairly check how well an employee is working.
Live location data allows managers to act quickly when something changes. If a new job comes up or a customer needs urgent help, the manager can send the closest available employee right away. This avoids delays, reduces travel time, and helps businesses respond more quickly. It makes the team more flexible and better prepared for last-minute changes.
With field employee tracking, businesses can give customers accurate updates on when a team member will arrive. This means no longer waiting or guesswork. When customers get updates and feel cared for, they trust the service more and may leave good reviews or come back again.
For employees who work alone, at night, or in faraway places, location tracking helps keep them safe. If someone is late, doesn't check in, or has an emergency, managers can see where they are and send help quickly. This makes workers feel safer and gives both them and their managers peace of mind, knowing help is close if something goes wrong.
With check-ins tied to job locations, businesses can be sure that employees are working from the correct place and at the right time. This avoids false check-ins and errors in attendance records. It makes salary calculations more accurate, reduces disputes, and saves time for both the HR team and employees. It also makes it easier to track work hours and create reports when needed.
It is important to let employees know about the use of location tracking. Employees should definitely understand why it is being used, what data will be located, and how it supports operations, safety, and productivity. This clear transparency prevents misunderstandings and builds trust between the organization and its staff.
Tracking should only be active during assigned work hours. This protects employees' privacy when they are off work and shows that the tracking is only on working hours. Keeping a clear line between work and personal time helps create a better and more comfortable work environment.
Organizations should establish and share clear policies about how and when location tracking will be used. Employees should know what is expected of them, what else the system monitors, and how that information will be used. Clear communication avoids confusion and ensures everyone is on the same page.
Location tracking should not be used to closely monitor every action or movement of employees. Instead, it should help with better planning, giving out tasks, and keeping the team safe. When used in a fair way, tracking helps build a more positive and trusting workplace, without making people feel stressed or uncomfortable.
Location data should be reviewed regularly to help improve field operations. By analyzing reports, managers can identify delays, plan better routes, and find ways to improve performance. The purpose is to improve things and help the team, not to cause fear or punishment.
Issue: Some employees feel uncomfortable about being tracked all the time.
Cause: This usually happens when they don’t fully understand when tracking happens or why it’s being used.
Fix: Make sure the system only tracks during work hours. Clearly explain to employees that tracking is meant to help with safety, job planning, and quick support, not to watch or control them personally.
Issue: The system shows the wrong location or no location at all.
Cause: This usually happens when GPS is turned off on the device, the app doesn't have location permission, or the phone's software is outdated.
Fix: Make sure the device’s location services are turned on and set to “high accuracy” mode. Also, check if the app is allowed to use location in the phone settings. Updating the app or restarting the device can also help solve the problem.
Issue: The location is delayed, doesn’t change, or shows the same place for a long time.
Cause: This can happen when the mobile network is weak, the GPS signal is blocked (like indoors or underground), or the app is restricted from working in the background.
Fix: Ensure that the phone has a stable internet connection and good GPS signal. Allow the app to run in the background in the phone settings, and make sure mobile data and GPS are both turned on for smooth updates.
Issue: The phone battery runs out quickly while using the tracking app.
Cause: Constant use of GPS and mobile data by the app can use a lot of power, especially if other apps are running too.
Fix: Adjust the tracking settings to use power-saving modes, like updating location less frequently when not moving. Close apps not being used and remind employees to keep their devices charged regularly.
Issue: Tracking stops when the app is not open or minimized.
Cause: Many phones automatically stop apps from running in the background to save battery, which can affect location updates.
Fix: Change phone settings to allow the tracking app to stay active in the background. Turn off battery optimization for the app so the system doesn’t close it while running in the background.
Issue: The app shows the wrong time for check-in or doesn't show it at all.
Cause: This can happen if the GPS signal is weak, the internet isn’t working well, or the work area is not set up right in the app.
Fix: Make sure the work area is marked correctly in the app. Also, check that the app can use GPS and internet, and that it’s the newest version.
